Documents prior to 1994 were indexed in the books and these should always be checked if the document is not found through the inquiry system.

IF A SEARCH DOES NOT RETURN THE EXPECTED

1) The Inquiry System can not be held responsible for misspelled names. Misspelled names can be caused by one or more of the following reasons;

A) Names were incorrect on the document to be recorded or filed.

B) Various data entry conventions were previously in use

1) Standard abbreviations were not previously agreed upon.

2) Names typed in the body of the document to be filed or recorded may be used to index the document, or the signatures may be used to index the document. Names used in the body of a document are often different in spelling from the signatures.

3) Name verification was not performed on documents filed or recorded between 04/01/1989 and 01/01/2000.

4) Name verification prior to 04/01/1989 is being done as the documents are added to the system.

C) Name suffixes such as JR, SR, III, (etc) are not used consistently.

D) Middle Initials are not consistently used, or may vary from time to time for the same person.

E) Name changes are not tracked within the system. The name currently in use at the time the document is created will be used.

F) Pre-Marital names are treated the same as E.

2) Satisfaction of mortgage dates may also be incorrect as in the past, the County Clerk accepted multiple satisfactions for the same mortgage.


3) Liens that are reported as RECORDED may actually be expired due to the time frame.
